What is a salary slip generator?
A salary slip (or payslip) is the monthly statement an employer gives an employee showing what was earned, what was deducted and the net amount paid. This free MavexTech salary slip generator lets small businesses, startups, HR teams and accountants create a neat, consistent payslip in a minute: enter the company and employee details, the monthly earnings and the deductions, and the tool calculates EPF, ESIC and professional tax, totals everything, writes the net pay in words and gives you an A4 PDF or a print-out. It all runs in your browser, so salary data never leaves your device.
How to use the salary slip generator
- Enter the company name and address and, optionally, upload a logo.
- Fill in the employee details — name, ID, designation, PAN, UAN and bank account. Tick the mask option to show only the last four digits of the account number.
- Choose the month and paid days. Days in the month are filled in automatically; reduce paid days for unpaid leave and the earnings are pro-rated.
- Enter earnings — Basic, HRA, special allowance, conveyance, bonus — and add or remove rows as needed. The first row is always treated as Basic.
- Set the deductions — EPF option, ESIC, professional tax state, TDS and any other deduction — then download the PDF or print the slip.
How net (in-hand) pay is calculated
Net pay = Gross earnings − Total deductions. With pro-rating on, each earning = monthly amount × paid days ÷ days in the month, rounded to the rupee. Deductions are then worked out on the earned amounts:
- EPF (employee share): 12% of Basic. With the wage-ceiling option, Basic is capped at ₹15,000, so the deduction is at most ₹1,800 a month. Where the employee is covered on higher wages, choose “12% of full Basic”. If your company pays DA, include it in the Basic row, because EPF is calculated on Basic + DA.
- ESIC (employee share): 0.75% of gross wages when gross wages are ₹21,000 a month or less, rounded up to the next rupee.
- Professional tax: a state tax on employment, deducted by the employer according to the state’s monthly slab. The Constitution caps it at ₹2,500 a year per person.
- TDS: income tax deducted at source under Section 192, entered manually from your tax calculation.
Worked example (the default slip): September 2025, 30 of 30 days paid. Earnings: Basic ₹30,000 + HRA ₹15,000 + special allowance ₹12,400 + conveyance ₹1,600 = gross ₹59,000. Deductions: EPF 12% of ₹15,000 = ₹1,800; ESIC nil (gross above ₹21,000); professional tax ₹200 (Maharashtra, gross above ₹25,000); TDS ₹2,500. Total deductions ₹4,500, so net pay = ₹54,500 (“Rupees Fifty Four Thousand Five Hundred Only”). If the same employee had 27 paid days, Basic becomes 30,000 × 27/30 = ₹27,000 and gross ₹53,100.
Professional tax slabs used
- Maharashtra: men — nil up to ₹7,500, ₹175 up to ₹10,000, then ₹200 (₹300 in February); women — nil up to ₹25,000, then ₹200 (₹300 in February).
- Karnataka: nil below ₹25,000, then ₹200 (₹300 in February).
- West Bengal: nil up to ₹10,000; ₹110 up to ₹15,000; ₹130 up to ₹25,000; ₹150 up to ₹40,000; ₹200 above.
- Gujarat: nil below ₹12,000, then ₹200.
- Telangana and Andhra Pradesh: nil up to ₹15,000; ₹150 up to ₹20,000; ₹200 above.
States such as Delhi, Haryana, Uttar Pradesh and Rajasthan do not levy professional tax on salaries. For any other state, use “Manual amount”.
Common uses
- Small employers and startups without payroll software issuing monthly payslips.
- Employees recreating a missing payslip from their salary structure for their own records (always mark it as such — never pass it off as employer-issued).
- HR teams checking how a change in Basic or paid days affects EPF, PT and in-hand pay before running payroll.
Tips
- Keep Basic consistent with the appointment letter; HRA exemption and EPF both depend on it.
- Use the salary calculator to break a CTC into monthly components, and the income tax calculator to estimate monthly TDS.
- Payslips, together with the employer’s Form 16, are commonly requested for loan applications and visa files, so keep a PDF copy for every month.
Limitations and notes
This tool is a document format aid, not payroll or compliance software. It does not file EPF/ESIC returns, deposit professional tax or compute TDS for you. EPF here is calculated on the first (Basic) row only, ESIC eligibility is checked on the month’s gross, and professional tax slabs change from time to time — confirm current rules before relying on them. A payslip must reflect the salary actually paid; creating false salary slips is fraud. The PDF uses a standard font, so ₹ is written as “Rs.”. The pdf-lib library is loaded from a public CDN; your data is not sent anywhere.
Frequently Asked Questions
Is this salary slip generator free?
Yes. It is free with no sign-up and no watermark. The payslip is created in your browser, so employee names, PAN, UAN and salary amounts are never uploaded.
How is the EPF deduction calculated on a salary slip?
The employee contributes 12% of Basic (plus DA). Many employers apply the Rs. 15,000 wage ceiling, which limits the employee share to Rs. 1,800 a month. If PF is paid on the full Basic, choose the 12% of full Basic option instead.
What is professional tax and how much is it?
Professional tax is a state tax on employment that the employer deducts from salary. The amount depends on the state's monthly slab and cannot exceed Rs. 2,500 a year. For example, Maharashtra charges Rs. 200 a month (Rs. 300 in February) above the exempt limit, while Delhi has no professional tax.
How are paid days used?
With pro-rating on, every earning is multiplied by paid days divided by the days in the month. For example, Rs. 30,000 Basic with 27 paid days in a 30-day month becomes Rs. 27,000. EPF, ESIC and professional tax are then calculated on the reduced amounts.
When is ESIC deducted from salary?
ESIC applies when an employee's gross wages are Rs. 21,000 a month or less in an establishment covered by the ESI Act. The employee share is 0.75% of gross wages. The tool's Auto option deducts it only when the gross is Rs. 21,000 or less.
Can I hide the bank account number on the payslip?
Yes. Keep the mask option ticked and the slip shows only the last four digits, for example XXXXXXXXXX6789, which is safer when the payslip is shared with a bank or landlord.
